Hinton Cook is committed to respecting your privacy and ensuring that any personal date shared with us is processed with the Data Protection Act 1998 and the Privacy and Electronic Communications Regulations 2003. These laws will be strengthened in May 2018 to give you your rights and control over any information Hinton Cook hold about you.

How we will collect personal information:

We collect information directly from you when you make the decision to contact H-C and instruct our services. This data may include:

• Name

• Contact details including postal address, postcode, email and telephone numbers

• Planning information regarding land and property

• Records of your contact with us

We may also collect information from partners who you have given permission for us to collaborate with, e.g. Planning specialists, and relevant consultants required to achieve your planning approval and the build programme.

Why we collect your personal information:

• Upon first contact, for the purpose of providing advice and information on our Architectural Services

• Upon instruction, to provide Architectural Consultancy services as set out by agreement in the Fee Proposal and Form of Appointment

• To invoice you in accordance with the agreed instruction of services document

• To keep you informed of our services (please see Contact Permissions)

Contact permissions:

We will respond to you during any pre-instruction phase as appropriate.

Upon instruction we may contact you by email, phone and post in order to provide you with the services agreed within the schedule of services and fee quotation, until the end of the agreement.

Post instruction, we may contact you with information on our services and information on H-C events.

Who we share your information with:

We will only share personal information which is either consented to, or necessary to fulfil the agreed instruction of the services scheduled document.

Hinton Cook will not share personal information with any third parties without your permission.

How long do we keep your data and your rights and choices: 

Current R.I.B.A. advice regarding residential projects requires client data to be kept for 7 years. Certain types of projects such as commercial, educational or public buildings may be significantly longer depending on the contract

The Data Protection Act gives you the right: 

• To request in writing and securely obtain copies of the personal information Hinton Cook holds (there may be a cost)

• To correct or update your personal information 

• To request Hinton Cook to stop using your personal information for purposes outside of the instruction agreement or for any other purpose where there is no legal requirement for continued processing
